    • Providing psychological therapy within a private practice setting to a diverse client group, including children, adolescents & adults

    • Clinicians must be able to commit to a minimum of two client days, with availability for three to four days per week if desired.

    • Willingness to offer some morning (from 7:30 am) or evening appointments(finishing at 6:30pm) is required.

    • Saturday sessions are available for clinicians who wish to work weekends.

    • Candidates with experience in one of more of the following is highly desirable :

      • Trainined in a trauma-informed approach.

      • EMDR trained, or a willingness to undertake EMDR training is preferred.

      • Experience working with complex trauma

      • Experience in previous private practice setting

    • Applicants must be fully registered, hold a Medicare Provider Number, and have an ABN.

    • Thoughtfully designed, boutique therapy spaces that prioritise both comfort and clinical functionality.

    Harmony Psychology is seeking a Practice Manager to oversee the day-to-day operations of our front desk and administrative systems while leading a high-performing Client Relationships Team.

    This is an exciting opportunity to play a key leadership role in a growing psychology practice, ensuring exceptional client care while maintaining efficient and compliant administrative systems.

    About the Role

    This role is responsible for the leadership, performance and day-to-day operations of the Client Relationships Team (CRT).

    You will ensure our front desk and administrative systems run smoothly, clinicians are well supported, and clients receive an exceptional experience from their first contact with the practice.

    The role combines practice operations, team leadership, administration oversight, and quality improvement.

    Key Responsibilities

    Front Desk & Operations

    • Oversee daily front desk operations and support the Client Relationships Team

    • Develop and manage the front desk roster in line with operational needs

    • Identify recruitment needs and assist with onboarding new administrative staff

    • Ensure smooth client flow, bookings and clinician support

    Administrative & Practice Management

    • Manage day-to-day administrative operations of the practice

    • Ensure compliance with third-party billing requirements (e.g. WorkCover, DVA, PHN etc.)

    • Oversee clinician file management and conduct annual file audits

    • Monitor and report on key practice metrics (booking rates, cancellations, new clients)

    • Ensure adequate stock and operational resources across the practice

    Team Leadership & Training

    • Lead, support and mentor the Client Relationships Team

    • Facilitate regular team meetings and performance development

    • Oversee orientation and training for new team members and clinicians

    • Support implementation of policies, procedures and systems

    Quality & Systems Improvement

    • Identify opportunities to streamline administrative processes

    • Ensure compliance with workplace health and safety requirements

    • Maintain high operational standards across client administration

    Client Experience & Customer Service

    • Deliver exceptional service to clients, referrers and stakeholders

    • Manage client enquiries, feedback and complaints professionally

    • Maintain strong relationships with referrers and healthcare partners

    Marketing & Practice Support

    • Assist with referrer communications and newsletters

    • Support preparation of GP engagement materials

    • Contribute to social media and website updates where relevant

    About You

    You are an organised, proactive professional who enjoys leading people and improving systems.

    You are comfortable working in a fast-paced healthcare environment and take pride in delivering exceptional service.

    Experience

    • Previous experience in practice management in psychology is preferred or medical reception, or allied health administration

    • Experience supervising or coordinating a team

    • Knowledge of healthcare funding streams (Medicare, WorkCover, DVA etc.) is highly regarded

    • Previous experience using Halaxy

    • Current driver’s licence
